Library : Borrowing and Use Policies

Borrowing and Use Policies

Welcome to Wyndham Robertson Library! To help us maintain an effective and enjoyable working environment for the Hollins community, use of the library and its resources is contingent upon your agreement with the following principles:

  • Respect others, do not engage in disruptive behavior. Disruptive behavior is behavior that interferes with or disrupts anyone’s ability to learn or work in the library.
  • Be responsible, if you bring children under the age of 12 into the library, do not leave them unsupervised.
  • Respect library materials, treat them with care so that others may enjoy them.
  • We welcome all service animals; please do not bring non-service animals into the library.
  • Flyers and posters should be submitted to library staff, for posting in the Coffee Commons and by the ground floor elevator entrance. Any marketing materials found elsewhere in the building will be recycled.

  • Hollins University students
  • Roanoke College students

How do I obtain borrowing privileges?

Present current, valid identification at the Library circulation desk. Valid forms of identification:

How will I know when my books are due?

You can check your library account and renew materials any time at My Account.

Library notices are sent to your official hollins.edu email :

  • Courtesy notice: 3 days before an item becomes due.
  • First overdue notice:1 day after item is due

What are the fines for overdue materials?

Wyndham Robertson Library does not charge daily overdue fines for non-reserve books. For more information on this change, see our FAQ. The library only charges overdue fines for items in high demand by the community: items on reserve, and items which have been recalled.

In-library and Overnight Reserve $.50 per hour per item; $20 maximum per item
Two Day Reserves $1 per day per item; $20 maximum per item
Recalled Items $1 per day per item; $20 maximum per item

When an item has been overdue for 29 days it is assumed lost; see Lost item Replacement Fees below.

What are the replacement fees for lost or damaged materials?

In-print materials Default rate of $50.00 plus a $15.00 non-refundable late charge/processing and billing fee ;or the replacement cost as listed in BIP, Ulrich's, Whitaker's, etc.
Out of print books Price listed by out-of-print book dealer or average cost of Hollins Library titles purchased in the subject area.
Interlibrary Loan Replacement charges are set by the lending institution.
Other materials Original cost or actual cost of comparable item plus a processing charge.

Borrowing privileges, including Interlibrary Loan will be temporarily suspended when library charges reach $50.00.  To restore privileges, library charges may be cleared at the circulation desk, by returning the items and paying any fines. However, accounts referred to the Business Office must be settled there.

Refunds may not be offered for lost items returned after the charges have been sent to the Business Office. Prompt response to courtesy notices and bills from the Library will avoid fines,  and any subsequent suspensions or lost book charges.

Requesting Checked-Out Items: ILL and Recalls

If you need a library item that is checked out to another borrower, we suggest the following:

  • Request this item via Interlibrary Loan (ILL). In most cases, ILL is the fastest and most efficient way to get the item you need.

If Interlibrary Loan is not an option:

  • Request via recall.
  • Recalled items are due 7 days after the recall is placed. The borrower will receive a notice informing them of the change in due date.
  • You will receive a notice informing you when the item has been returned.
Request via ILL Click here to place an ILL request
Recall Use the "Request Item" feature in the online catalog.

Returning Recalled Items

  • If an item is recalled from you, you must return it by the date in the notice. Even though the original due date may have been later, the loan period is shortened when another borrower needs the item.
  • The late fine for overdue recalled items is $1 per day. There is no grace period for overdue recalled items.
  • Borrowers with overdue recalled items are blocked; they cannot check out or renew other items until the recall has been returned. Items that are already overdue when they are recalled result in an immediate block on the account.
  • You are responsible for recalled items and late return fines at all times during the calendar year and regardless of where you are when notice is sent. Our library serves borrowers year round, and items may be recalled at any time. If you are abroad or indisposed when a requested item is due, please contact us to discuss return options.

Virginia Cooperative Borrowing Program (VIVA)

Current Hollins students, faculty and staff may borrow materials on-site from Virginia college and university libraries participating in the cooperative borrowing program sponsored by VIVA, the consortium of nonprofit academic libraries within the Commonwealth of Virginia.

Which schools are participating?
Click here for a list of lending libraries.

How does it work?
To borrow materials, present your Hollins I.D. and fill out a borrowing application at the library you are visiting. You may be asked to log into my.hollins to prove your current status.

How many items may you borrow, and for how long? What are the fines for late returns?
These rules are determined by each lending library, and will vary from school to school. Note that late fees and fines will apply until materials are received by the library that lent them to you (see below), and unpaid fees may be billed to your Hollins account.

Where should items be returned?
You are responsible for returning items at the lending library, or at Wyndham Robertson Library at Hollins. Note: if you return items at Hollins, you must return them at least one week before the due date, to give our staff the time needed to ship them back to the lending library. If you return them later, you may incur late fines or fees.

What if an item is lost or damaged? You are responsible for paying for any lost or damaged items. Fees are determined by the lending library, and you must contact them to make arrangements for replacement or reimbursement.

Whom do I contact with questions about these policies?
